Policies and forms

Phone Calls

Our office hours are Monday through Friday, 8:30am to 4:30pm, with lunch from 12-1pm. Please note that our phone lines are closed during lunch from 12-1:30pm. If you have any questions or concerns, don’t hesitate to call us! It’s always better to reach out than to worry at home. We encourage you to call early in the morning to ensure we have time to return your call. Please keep your phone available to avoid phone tag, and if we haven’t responded promptly, feel free to call us back.

Appointments

At Pinecone Pediatrics, we understand how important your relationship with your pediatrician is. That’s why the majority of your child’s well and sick visits will be with your regular physician. However, in cases of urgent needs, our entire team of experienced pediatric practitioners is here to assist you.

Initial physical exams are thorough to allow time for us to get to know your child’s medical history. To ensure a smooth visit, please have all medical and immunization records sent to us prior to your appointment, so we can review them in advance.

Your child’s health is our top priority, and we strive to provide personalized, high-quality pediatric care.

Well Child Visits (Check-ups)

Schedule your newborn’s first pediatric visit within a few days to 2 weeks of age, as recommended by your physician. Subsequent well-child visits occur at 2, 4, 6, 9, 12, 18, and 24 months, and then annually starting at age 3. These essential check-ups assess your child’s overall health, growth, development, and behavior. They also provide a great opportunity for you to ask questions and receive guidance on the next stages of your child’s life. If needed, immunizations are administered at the end of each well-child visit to keep your child up-to-date on vaccinations.

Vaccine policy

Keeping your children up to date on their vaccines is one of the best ways to protect their health. At Pinecone Pediatrics, we prioritize the safety of all our patients by only accepting those who follow the recommended vaccination schedule, unless a medical contraindication is diagnosed by one of our physicians. This policy ensures the safety of your child, other patients, their families, and our staff, helping to prevent the spread of preventable diseases.

Cancellations / No Show Policy

To meet the needs of our patients and to assure we have adequate openings for children needing appointments, our office requires 48-hours advance notice to cancel a scheduled appointment. No shows and short notice cancellations are subject to a $50.00 fee per missed appointment which includes same day scheduled appointments that are cancelled. Patients who arrive later than 10 minutes from their scheduled appointment time will be considered a no show and will be cancelled.

New Patient Establishing Care

Our practice is currently only accepting newborns to first time parents who have completed an in office pre-natal consult with one of our providers.  If you would like to schedule a pre-natal consultation with our practice, please call and speak with our scheduling department well in advance of your due date as appointments are limited.  We will be unable to establish your newborn as a patient of our practice without having completed a consultation.

Walk-In Appointments

As we schedule all same day sick appointments, we do not have walk-in appointments available.  If your child is sick, please call us, and we will schedule your child as soon as we can.  This will ensure much better waiting times for all of our patients.

Referral Forms/Prescription Refills

Please allow sufficient time for these requests. Referrals must be registered with your Insurance carrier and can take several days for us to get approval for you.

We ask at least 24 hours notice for prescription refills so that we can review your child’s chart and assure we are offering the best care for any ongoing problem.

School, daycare, camp and similar forms take time to review, and to provide all requested information. We routinely complete these forms in two weeks.
